This policy explains what personal information Pinewood Property Consultants, a brand of Vallal Jothy Developers (“Pinewood”, “we”, “us”), collects when you use pinewoodpropertyconsultants.com, contact us, or use our property services, how we use it, who we share it with, and the choices you have. 1. Who we are
Pinewood Property Consultants is a brand of Vallal Jothy Developers, a partnership firm, VJD’s Mitra, Plot No 22, Door No. A-3, Third Floor, EB Colony, 2nd Street, Adambakkam, Chennai 600088, Tamil Nadu, India. We help buyers, sellers, land owners, promoters and NRIs with property paperwork, verification, management and maintenance in Chennai and across Tamil Nadu.
For the personal information described in this policy, Vallal Jothy Developers, which operates the Pinewood Property Consultants brand, decides why and how it is used.
2. What we collect
Information you give us
- Contact form: your first and last name, email address, phone number, the service you are interested in, and the message you write.
- Calls, WhatsApp, email and meetings: your name, phone number or WhatsApp number, email address, and whatever you tell us about your property and your plans.
- When you become a client: the documents and details we need to do the work you ask for. Depending on the service, this can include identity and address proofs, property documents (such as sale deeds, Patta, Chitta, Encumbrance Certificates, FMB sketches and approvals), tax and payment details relevant to a transaction, and, for NRI clients, passport or overseas address details. We ask only for what the task needs.
Information collected automatically
- Site analytics: we use Google Analytics through the Google Site Kit plugin to see how the site is used. Google sets cookies and receives your IP address, browser and device type, the pages you view, how you arrived, and an approximate location.
- Fonts: the site loads fonts from Google Fonts, so your browser connects to Google’s servers, which can see your IP address.
- Spam protection: the contact form includes a hidden field that helps us tell real people from automated bots. It does not collect anything more about you.
- Security and technical logs: our hosting provider and security tools may log IP addresses, browser details and request times to keep the site working and safe.
3. How we use it
- To reply to your enquiry and follow up on it.
- To provide the services you ask for, including preparing and checking documents, and dealing with government offices, banks, advocates, surveyors and other professionals on your behalf.
- To send you updates about your matter, and to remind you of dates and next steps.
- To understand which pages help visitors and to improve the site and our guides.
- To keep the site secure and to prevent spam and misuse.
- To meet legal, accounting and record-keeping requirements, and to handle disputes.
We do not use your information to make automated decisions about you. We do not send marketing messages unless you have asked to receive them or have an existing enquiry with us, and you can ask us to stop at any time.
4. Our basis for using your information
We use your personal information with your consent, which you give when you contact us or share documents with us for a stated purpose, or where the law allows use without consent, for example to comply with a legal obligation. We handle personal information in line with applicable Indian law, including the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023, together with the rules made under them as they come into force. You can withdraw consent at any time, as explained in section 8.
5. Who we share it with
We do not sell your personal information. We share it only as follows:
- People working on your matter, such as advocates, surveyors, architects, engineers, contractors and banks, only for the work you have asked for and only the details they need.
- Government offices and authorities, such as Registration, Revenue and local body offices, when your paperwork requires it or when the law requires it.
- Service providers that run our website and communications, such as our hosting provider, email provider, the form plugin, Google (analytics and fonts). They may process data only to provide their service to us.
- Courts, regulators and law enforcement, where we are legally required to disclose information.
- A successor to our business, if Pinewood is ever merged or transferred, subject to the same protections.
Some of these providers, including Google, may process data on servers outside India. Where that happens we rely on those providers’ own safeguards, and we do not permit them to use your information for their own purposes beyond what their terms allow.
6. WhatsApp, phone and social media
If you message us on WhatsApp, WhatsApp handles that conversation under its own terms and privacy policy, and we see your number and what you send. If you follow or message us on Facebook, Instagram, LinkedIn or X, those platforms process your information under their own policies. Links from our site to Google Maps, WhatsApp and social platforms take you to services we do not control.
7. How long we keep it
We keep enquiry details for as long as needed to respond and follow up. We keep client records for as long as needed to complete your matter and for the period we need them for legal, accounting and dispute purposes. When we no longer need information, we delete it or anonymise it. Documents you give us for a specific task are used only for that task.
8. Your choices and rights
You can ask us to:
- tell you what personal information we hold about you and how we use it;
- correct or update information that is wrong or incomplete;
- delete your information, unless we must keep it by law or to handle a dispute;
- stop using your information for a purpose you had agreed to, by withdrawing your consent;
- name another person who may exercise these rights for you if you die or become unable to do so.
Write to info@pinewoodpropertyconsultants.com with your name and the phone number or email you used with us, and tell us what you want. We may ask you to confirm your identity first. We will reply within a reasonable time, and in any case within the time the law requires. Withdrawing consent may mean we can no longer provide a service that depends on that information.
9. Cookies and analytics
Cookies are small files stored on your device. On this site they are mainly used by Google Analytics to count visits and see which pages are read. You can block or delete cookies in your browser settings, and you can stop Google Analytics from measuring your visits by installing Google’s browser add-on at tools.google.com/dlpage/gaoptout. The site works without cookies, but some measurement will be lost.
10. How we protect it
We use reasonable security measures, including access limited to people who need the information, spam and malware protection on the site, and secure connections (HTTPS). No website or method of storage is completely secure, so we cannot promise absolute security. If a breach affects your personal information, we will tell you and the authorities as the law requires.
11. Children
Our services are meant for adults dealing with property. We do not knowingly collect personal information from anyone under 18 without a parent or guardian’s involvement. If you think a child has given us information, write to us and we will delete it.
12. Changes to this policy
We may update this policy when our services or the law change. The date at the top shows when it was last updated. If we make a significant change, we will say so on this page.
